How the main features work

Client profiles
Contact details, company, address, tags, categories, custom fields, and notes. A second email field for business and personal separation. Filter and search across everything.
Jobs & tasks
Create jobs for each client with tasks, due dates, time tracking, and status. Recurring jobs (weekly through 3-yearly) with cycle history so you can see what happened last time. Tasks reset on each new cycle.
Invoices & quotes
Generate branded PDF invoices and quotes from a business profile you set up once. Track payments and partial deposits, see overdue balances at a glance. Convert a quote to an invoice when accepted, and one invoice can cover multiple jobs.
Reminders & follow-ups
Set reminders for follow-ups, renewals, or anything you need to come back to. Snooze to tomorrow, next week, next month, or a custom date. Recurring reminders advance automatically when completed.
Activity log
Log calls, emails, meetings, and notes against each client or job. Customise activity types with your own names, icons, and colours. Full searchable history with time tracking.
Private by design, available offline
No app account is required. Records and hourly and daily backups are stored on your Mac. You can also choose a backup folder managed by iCloud or Dropbox; syncing that folder needs internet.
Works with your AI assistant
Assistant access in Settings is off until you turn it on. While it’s on and Client Manager is open, an AI assistant on your Mac such as Claude Desktop or ChatGPT desktop can read and change your records, and what it reads is sent to the AI service behind that assistant. The setup steps are in the help centre.
Who Client Manager is for
Freelancers & consultants
Track projects, log time, send invoices, follow up on unpaid work. See your revenue across the financial year.
Tradespeople
Log jobs and site visits. Send quotes and invoices with your ABN and payment details. Set reminders for annual service callbacks.
Health practitioners
Manage patient or client records, appointments, and follow-ups. All data stays on your machine, not on someone else's server.
Small retailers
Track customer relationships, store contact details, and log interactions. Categories and tags help you segment your customers.
Sole traders
A single place for clients, jobs, invoices, and reminders. No per-seat pricing when there is only one seat.
Anyone who values privacy
Keep your client records on your own computer, with no app account or cloud sync required.

Why Client Manager instead of a cloud CRM?

No account required
Download, open, and start adding clients. No signup, no email, and no password needed.
Your data stays on your Mac
Profiles, invoices, notes and backups are saved on your computer. You choose what to export, share or back up through another service.
One-time purchase
Pay once, use it forever. No subscription that stops working when you stop paying.
Built for clients, not sales pipelines
No funnels, stages, or conversion tracking. Clients, jobs, invoices, and reminders are what you get.
How do I get started?
  1. Add your first client — name, contact details, company, and any tags or categories that help you organise.
  2. Create a job — give it a title, add tasks with due dates, and track time as you go.
  3. Set up your business profile — business name, ABN or tax ID, payment methods, logo. This goes on your invoices.
  4. Create an invoice — select a client and job, add line items, and generate a branded PDF.

First time installing one of these apps? The Installing an app guide walks through downloading it from your Gumroad Library and installing it on your Mac.

Does it work offline?

Yes. Once downloaded and installed, you can manage clients, jobs, tasks, invoices, quotes, payment records and reminders without an internet connection. Your records and local backups are saved on your Mac. Update checks and downloads, external websites, emailing documents and syncing a backup folder through a cloud service need internet. Recording a payment tracks money received; it does not process an online payment.

Do I need an account to use the app?

No. Open the installed app and start adding clients. You do not need a Client Manager account or an online sign-in to access your saved records.

Is my data stored in the cloud?

No. Client records, jobs, invoices, reminders, settings and backups are stored on your Mac. You can choose to export them or back up to a folder managed by a cloud service.

Can I back up my data?

Yes. The app automatically creates hourly backups (if data changed) and daily backups, keeping up to 10 of each. You can restore from any backup in Settings. You can also export all data as a JSON file and set an external backup folder (iCloud, Dropbox, or an external drive) for off-machine safety.

Invoices, tax and requirements

Is this an accounting tool?

No. Client Manager generates invoices and tracks payments, but it is not a double-entry ledger or tax return tool. Think of it as a client book with invoicing built in.

Can I use my own ABN or tax ID on invoices?

Yes. Set your ABN, GST rate, business name, logo, and payment methods in the Business Profile section of Settings. These appear on every invoice and quote you generate.

Can one invoice cover multiple jobs?

Yes. When creating an invoice you can select multiple jobs. Revenue is allocated across them based on line item totals.

Is the app safe to install?

Yes. Client Manager is code-signed with an Apple Developer ID and notarised by Apple, for both Intel and Apple Silicon Macs. macOS verifies it opens without security warnings.

Does it work on Windows?

Currently macOS only (12 or later). A Windows version may follow based on demand.

Buying, updates and refunds

Can I try the app and get a refund?

Yes. Individual app purchases include a 14-day money-back guarantee. Install it, try it, and if it does not suit your needs, email david@tiongcreative.com.au with your order details within 14 days of purchase.

If your purchase is fully refunded and the licence ends, you must stop using the app and delete copies and installers held under that licence. Your own documents and exported work remain yours to keep.

Do I need a subscription?

No. Client Manager is a one-time purchase. There is no monthly fee, no account, and no cloud. Or get every app through the Tiong Creative membership with updates while your membership is active.

Are updates included?

Yes. When you buy the app on its own there is no subscription, and future updates to it are included.

How is payment processed?

Prices are in USD and payment is processed securely by Gumroad. Gumroad may show the price converted to your local currency as a guide, but your card is charged in USD, so your bank may add a small foreign transaction fee.

What's changed in the latest version?

If you buy the app, every future update to it is included at no extra cost. Members get updates while their membership is active. See the full list of changes on the changelog page. To update, download the latest version from your Gumroad Library, open the DMG, and drag the app to Applications. Choose Replace when macOS asks. Your data and settings are kept automatically.

Where are the complete guides and FAQs?

Step-by-step guides, from your first client to invoices, reminders and backups, are in the Client Manager help pages. Release notes are on the changelog page. For anything else, email david@tiongcreative.com.au.

Built by David Tiong

I have worked across product management, agency ownership, SaaS support and product enablement, and I am the person behind davidtiong.com. I built Client Manager because the CRMs I looked at were limited in what they offered for free and locked you into monthly or yearly subscriptions to get the features you actually need. This one is pay once, use it as often and however you need, and as always you can export all your data and hand it off to another tool or AI in the future if you want to.
